What the campaign actually did
- Pulled every patient who had gone quiet, not just the most recent ones
- Sent a short, human sounding text message rather than a generic form letter
- Followed up automatically with anyone who did not respond right away, without any staff member having to remember to do it
None of this required new marketing spend or new leads. Every person on that list already knew the practice well enough to have shown up at least once before. That is a completely different starting point than trying to convert a stranger who clicked on an ad.
Why it worked
Cold outreach to strangers is hard because there is no trust built in yet. This was the opposite. Every message went to someone who already had a relationship with the practice, even if that relationship had gone quiet. The system just made sure nobody who mattered got forgotten, and it kept following up long after a staff member would reasonably have given up.
The fastest new patients most practices will ever get are not new at all. They are the ones already sitting in the system, waiting for a reason to come back.
What this means if you are sitting on a similar list
If your practice has been open more than a year or two, there is almost certainly a meaningful group of former patients who never got a proper follow up. Working that list well is usually faster, cheaper, and higher trust than any new patient acquisition channel, because you are not starting from zero.
